About the Opportunity
Are you organized, detail‑oriented, and excited to support public health programs that make a real difference? The Health Promotion & Disease Prevention Section is looking for a motivated Senior Administrative Specialist to provide high‑level administrative and operational support. In this role, you will work directly with leadership, contribute to statewide public health initiatives, and use your administrative talents to help advance programs that protect and improve community health.
This position is ideal for graduates or early‑career professionals looking to grow in a structured, mission‑focused environment while gaining hands‑on experience in public health operations, data management, and project coordination.
What You’ll Do
• Coordinate schedules, meetings, travel logistics, and special projects for the Section Chief.
• Communicate with internal teams, community partners, and external organizations.
• Prepare reports, meeting minutes, presentations, spreadsheets, and formatted documents.
• Maintain databases, contracts, digital files, and tracking systems.
• Support program operations through data collection, report preparation, and dashboard updates.
• Review and process documents for accuracy and compliance with state policies.
• Draft and distribute internal and public‑facing communications.
• Assist with organizing projects, tracking deadlines, and maintaining documentation.
• Order office supplies, maintain equipment records, and support daily office operations.
• Use electronic timekeeping and information systems (such as eStar) to process records.
• Deliver excellent customer service and respond to inquiries professionally.
• Contribute to an inclusive, collaborative, and efficient team environment.
Required Qualifications
To be considered for this position, applicants must have the following:
• 1+ year of senior‑level administrative support experience in a government, public sector, healthcare, or other structured organizational setting.
• Experience managing multiple priorities independently.
• Proficiency in Microsoft Word and Excel.
• Experience preparing reports, spreadsheets, formatted documents, and correspondence.
• Experience processing employee timekeeping records in electronic systems.
• At least 6 months of experience providing administrative guidance or customer support.
• Strong written and verbal communication
