Event Assistant
Summary:
The Event Assistant supports the Athletics Department by coordinating and supervising athletic events, tournaments, practices, and community gatherings. This position is responsible for preparing event spaces, managing on-site logistics, monitoring field conditions, enforcing facility rules and safety standards, and serving as a primary point of contact for event participants, vendors, guests, and internal teams. The Event Assistant helps ensure events are organized, safe, welcoming, and executed according to schedule while supporting park operations, maintenance coordination, incident response, and sustainability goals.
Essential Duties and Responsibilities: (Other duties may be assigned)
- Serve as the primary on-site supervisor for athletic events, tournaments, practices, and
outdoor community gatherings
- Coordinate event logistics including field setup, equipment placement, signage, and breakdown
- Ensure all spaces are prepared according to event specifications and scheduling requirements
- Work with event organizers, vendors, and internal departments to ensure smooth execution
- Monitor the condition and readiness of athletic fields and surrounding spaces before, during, and after events
- Enforce facility rules, safety standards, and permit requirements
- Report maintenance needs and coordinate with grounds and operations teams
- Ensure proper use of fields to preserve turf quality and infrastructure
- Coordinate with security, custodial, and maintenance teams as needed
- Act as a point of contact for event participants and park guests
- Resolve issues or conflicts in a professional and timely manner
- Maintain a welcoming and organized environment for all visitors
- Ensure compliance with safety regulations, emergency procedures, and park policies
- Respond to incidents and coordinate with emergency services if necessary
- Complete incident reports and documentation as required
Qualifications and Education Requirements
- High School diploma or GED
- Active and Valid Driver’s License
- Ability to work in various weather conditions, including extreme weather.
- 1-2 years of experience in event operations, athletics, or facility supervision
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- Ability to work evenings, weekends, and holidays as required by event schedules
- Knowledge of athletic field operations and maintenance a plus
Preferred Skills
- Experience managing sports leagues or tournaments
- Familiarity with park or recreation facility operations
- CPR/First Aid Certification (or willingness to obtain)
Physical Demands

The employee will frequently be required to complete repeated motions that may include the wrists, hands, or fingers. Fingering, grasping, and feeling objects are required. The ability to safely operate machinery, power tools, and motor vehicles or heavy equipment will occur occasionally. The employee must constantly lift and/or move up to 10 pounds of force, up to 20 pounds of force frequently, and occasionally lift and/or move up to 50 pounds of force in all directions.
The employee is required to have visual acuity to perform an activity such as operating machinery where the seeing job is at or within arm’s reach; performing mechanical or skilled trades tasks such as technicians and mechanics, and operating heavy machinery. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. The employee is required to have visual acuity to determine the accuracy, neatness, and thoroughness of the work assigned or to make general observations of facilities or structures.
The ability to speak and hear is required. The employee must be able to exchange ideas using the spoken word, in which they must convey detailed instructions to others to constantly exchange information and assess the accuracy, neatness, and thoroughness of the work assigned. The employee must have the ability to hear sounds at a normal speaking level with or without correction, including the ability to receive detailed information through oral communication and to make fine discriminations in sound.
