We are looking for a detail-oriented and empathetic Program Manager to oversee our client journey from onboarding through enrollment.
The Role
As our Program Manager, you will be the central nervous system of the client experience. You will not be writing essays or tutoring, but rather ensuring that our team of expert consultants is aligned, our clients are informed, and every student’s timeline is executed flawlessly. You will bridge the gap between our high-touch consulting team and the families we serve.
Key Responsibilities
1. Client Lifecycle Management
• Serve as the primary point of contact for a portfolio of 30–50 client families.
• Lead onboarding sessions to set clear expectations regarding scope, timelines, and communication protocols.
• Conduct monthly check-ins with families to assess satisfaction, resolve concerns, and ensure adherence to the consulting plan.
• Manage parent and student expectations regarding school selection, testing schedules, and application deadlines.
2. Process & Operations Oversight
• Oversee the assignment of consultants (Essay Specialists, Admissions Counselors, Test Prep Coaches) to specific clients based on needs.
• Audit client files to ensure all deliverables (essay drafts, activity lists, financial aid forms) are submitted on time.
• Track key milestones using CRM software (e.g., Salesforce, Notion, or Airtable) and generate weekly progress reports.
• Identify bottlenecks in the consulting workflow and propose solutions to the Head of Operations.
3. Quality Assurance & Escalation
• Monitor the quality of deliverables before they reach the client.
• Serve as the escalation point for client complaints or operational hiccups.
• Conduct post-season debriefs with clients to gather testimonials and identify areas for service improvement.
4. Team Coordination
• Facilitate weekly internal meetings between consultants to discuss high-priority client cases.
• Coordinate scheduling for live workshops and one-on-one sessions.
• Ensure consultants have the resources (databases, templates, alumni data) they need to succeed.
Qualifications
Must-Haves:
• 3+ years of experience in client-facing project management (Education, EdTech, or Agency experience preferred).
• Exceptional organizational skills and the ability to manage 20+ simultaneous deadlines.
• High emotional intelligence (EQ) to handle high-stress conversations with parents and students.
• Proficiency with Calendly, Google Suite, etc.
• A deep appreciation for the college admissions landscape (familiarity with the Common App and Ivy League expectations).
