Client Care Intern

Job Title: Client Care Intern (99.9% Remote – Mental Health Practice)

Schedule: Monday 12:00 PM–4:00 PM; Tuesday–Thursday 2:00 PM–6:00 PM (some flexibility on Mondays if requested/needed)
Hours: Approx. 16 hours per week

About the Role

We’re seeking a Client Care Intern who’s confident, friendly, and comfortable answering phones. You’ll be a key part of our front-end support team—often the first voice clients hear—so warmth and professionalism are essential. This paid, part-time internship is ideal for students seeking real-world experience in mental health support, client communication, and healthcare administration.

This role is 99.9% remote, with all regular  job duties performed from home.

What You’ll Do

  • Answer and return calls with empathy and professionalism
  • Help onboard new clients: send intake forms, explain services, and provide basic technical support
  • Collect and verify insurance information
  • Maintain accurate call logs, documentation, and scheduling records
  • Support general administrative tasks such as labeling, organizing files, and follow-ups
  • Collaborate with the Client Care Manager and Clinical Director
  • Ensure all client information is kept confidential in accordance with HIPAA standards

Work Location & In-Person Requirements

  • This position is primarily remote, and no routine day-to-day work is required in the office.
  • However, the Client Care Intern must be willing and able to occasionally meet in person at the Castle Rock Family Services office in Ontario, CA, or with a designated team member, for limited logistical support. These instances may include:
  • Picking up materials (e.g., flyers, envelopes, books, or supplies) to complete assigned tasks remotely
  • Assisting with preparation of materials such as swag bags, therapy kits, or mailed outreach items
  • Supporting the Client Care Manager or Clinical Director at occasional community events or college expos
  • Scanning books or materials as needed for practice use
  • These in-person needs are infrequent, scheduled in advance, and task-based, and do not involve regular office hours or ongoing on-site responsibilities.

What We’re Looking For

  • Currently enrolled in an undergraduate program (Psychology, Social Work, Human Services, or related field)
  • Comfortable speaking on the phone and problem-solving in real time
  • Strong written and verbal communication skills
  • Organized, reliable, and able to work independently in a remote setting
  • Interest in mental health, client advocacy, or healthcare systems
  • Must reside in California and be legally eligible to work in the U.S.
  • Access to a quiet, distraction-free workspace and reliable internet connection
  • Ability to travel locally on an occasional basis for required in-person tasks
