Position Description:

 

Two (2) Permanent-Exempt, full time, full year positions. Exempt positions are considered "at will" and serve at the discretion of the appointing officer.


 

Note: These positions are grant funded and are funded on a yearly basis. Hours are subject to change after appointment dependent upon grant status.


 

These positions may require working in multiple locations, as well as evening and weekend hours, as needed during operating hours to serve students.

 

Under general direction of Student Affairs Information Center Supervisor, the 1490 Student Services Specialist performs complex and highly technical duties in the Student Affairs Information Center including but not limited to providing support to current and prospective students, particularly in the Core Services areas (e.g., Admissions and Records, Financial Aid, Counseling, Assessment, and other District programs and services). Other responsibilities include working collaboratively with multiple departments within the college to provide accurate information and/or resolve issues or concerns. This position requires extensive interaction with the public and may entail short-term assignment to other City College Centers as needed. This position will be required to work evenings and weekends as needed.

 

Job Duties:

 

Essential Functions

 

• Analyzes and troubleshoots problems with the admissions process and works with A&R, matriculation, registration, financial aid, technology for the purpose of resolving issues.

• Assists with day-to-day operations of assigned program and/or departmental responsibilities (e.g. student services professionals, functions of student services, procedures, long-range planning, grant implementation, financial aid, etc.) for the purpose of achieving organizational objectives, and ensuring compliance with legal, financial and district, state and federal requirements, as well as appropriate accreditation standards.

• Collaborates with internal and external personnel and organizations (e.g. administrators, counselors, public agencies, community members, admissions and records, county offices, public school systems, etc.) for the purpose of implementing and maintaining services and programs under established guidelines and procedures.

• Compiles a wide variety of often complex materials (e.g. plans, budgets, funding requests, confidential records, Student Services Program Review, SLOs/SAOs, program materials and supplies, etc.) for the purpose of supporting the documentation of activities and issues, meeting compliance requirements, providing audit references, making presentations, and providing supporting materials for requested actions.

• Coordinates general admissions/registration process (e.g. directly assisting students with general admission/registration and matriculation processes, residency and evaluation matters, etc.) for the purpose of implementing all necessary CCSF processes for student registration, admissions, and student retention.

• Facilitates student related meetings, workshops, seminars and activities (e.g. CCSF student services, actions involving outside agencies, interdepartmental needs, etc.) for the purpose of providing primary services, following CCSF guidelines and regulations for primary student services.

• Maintains a variety of files and records (e.g. reports, student records, databases, disability verification documents, etc.) for the purpose of documenting activities, providing written reports, and complying with mandated requirements, including confidential materials.

• Oversees a variety of student case load processes (e.g. assessment of program eligibility issues with potential students, maintaining records for documenting individual progress, developing and monitoring student outcomes data, recommending changes, troubleshooting, etc.) for the purpose of ensuring the implementation of CCSF student services.

• Participates in a variety of meetings (e.g. workshops, seminars, conferences, etc.) for the purpose of conveying and gathering information regarding a wide variety of subjects required to carry out necessary student services.

• Presents information on a variety of topics related to student services responsibilities (e.g. overviews of programs/services, policies and procedures, etc.) for the purpose of providing general information, training others, implementing actions, etc.

• Provides intake and orientation services (e.g. matriculation, counseling, admissions, financial aid, course planning, vocational, basic skills, transfer programs, etc.) for the purpose of providing services within established timeframes and in compliance with CCSF, State and Federal regulations and requirements.

• Researches a wide variety of topics (e.g. policies, regulations, current practices, staffing requirements, financial resources, student services, etc.) for the purpose of assisting with the development of new programs/services, ensuring program compliance with established requirements, securing general information and responding to requests.

• Reviews a variety of admissions, counseling processes (e.g. registration documents, prerequisites, student assessment, etc.) for the purpose of identifying and contacting potential students, tracking student progress, analyzing issues, ensuring compliance with organization policies and procedures progress, and monitoring program components.

• Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

 

Minimum Qualifications:

 

MINIMUM QUALIFICATIONS

These minimum qualifications establish the education, training, experience, special skills and/or license(s) which are required for employment in the classification. Please note, additional qualifications (i.e., special conditions) may apply to a particular position and will be stated on the exam/job announcement.

 

Education: Possession of a baccalaureate degree in Development Psychology, Counseling, Social and Behavioral Sciences or a related field from an accredited college or university; AND

 

Experience:

A. Two (2) years (4,000 hours) of verifiable paid work experience in federal and state financial aid programs, advising, evaluating eligibility, and awarding students utilizing student information management systems. Experience must have included preparing and maintaining a wide variety of documents and reports, public contact, checking and reviewing documents for completeness, and performing mathematical computations; OR

B. Two (2) years (4,000 hours) of verifiable paid work experience in an admissions and records office. Experience must have included preparing and maintaining a wide variety of documents and reports, public contact, checking and reviewing documents for completeness, and performing mathematical computations.

 

Substitution: Work experience in a financial aid program or admissions and records office as described above may be substituted for the required education on a year-for-year basis.

 

Note: College Work Study and Student Lab Aide experience with the District will be considered/applied as qualifying experience per an agreement made between the District and SEIU. This agreement will allow District students to take advantage of employment opportunities.

 

Desirable Qualifications:

 

• Bilingual in English and Spanish, Mandarin or Cantonese

• Knowledge of Banner applications

• Knowledge of the Student Affairs departments and processes

• Knowledge of MS Word, Email, Excel, PowerPoint, Adobe Acrobat, and other relevant software applications

• Knowledge of modern office practices, procedures, and equipment

• Ability to learn quickly and adapt to frequent updates and changes in practices, policies, and procedures

• Excellent written and oral communication skills

• Extensive experience with interfacing with the public including the ability to utilize de-escalation and conflict resolution techniques

• Ability to promotes a culture of diversity, equity, access, and student success by utilizing inclusive practices that foster innovation and the delivery of high-quality services to our students and community

• Must be organized, detail-oriented with the ability to work independently

• Demonstrated understanding and experience working with diverse populations with a commitment to creating an inclusive and equitable environment for all, particularly historically minoritized and disproportionately impacted student populations

• Familiarity with CCSF (City College San Francisco) District organization, mission, vision, goals, operations

 

Benefits:

 

1. Additional Days Off with Pay. As stipulated in the appropriate bargaining agreements and board resolutions, Classified employees working full year (260 days/year) work schedules are granted, as paid days off, the days between Christmas and New Year’s Day, as well as an additional five (5) paid days off during spring break. Eligible school- term-only (STO) employees who are not scheduled to work the designated days between Christmas and New Year’s Day shall be granted three (3) paid days off to be scheduled by mutual agreements between the employee and supervisor. Eligible school- term-only (STO) employees who are not scheduled to work the days designated as Spring Break will not be paid for these days off.2. New employees hired on or after October 1, 2013, will contribute 2% of salary to the San Francisco Retiree Health Care Trust Fund (RHCTF).
